Built to handle PHI like the covered entities we serve

ClinicFlow answers clinical calls for surgical practices, which means every design decision starts with HIPAA. Here is how patient information is handled, in plain language.

The short version

How information flows on a clinical call

  1. The patient calls and the agent gathers the concern. Identity, contact information, and a structured description of the issue.
  2. The call becomes a structured summary. Not a raw recording forwarded around — a written summary built for clinical handoff.
  3. The summary routes on the minimum-necessary principle. Non-urgent: EMR message to the appropriate clinical team. Urgent after-hours: secure link texted to the on-call surgeon. Urgent during clinic hours: summary to staff in the office.
  4. Your EMR stays the system of record. Documentation lands where your compliance program already governs it.

Why physician-founded matters here

ClinicFlow was founded by a practicing spine surgeon who lives inside HIPAA-covered workflows every day. The result is a bias you'll notice across the product: patient information goes into the systems practices already secure and audit — the EMR, the on-call workflow — instead of new places that expand your compliance surface.

Frequently asked questions

Is ClinicFlow HIPAA compliant?

Yes. ClinicFlow is built as a HIPAA-compliant voice AI system for healthcare practices. Clinical information captured on calls is handled as HIPAA requires and routed into the practice's own EMR through secure messaging rather than stored in a separate consumer-facing app.

Does ClinicFlow sign a Business Associate Agreement?

Yes. ClinicFlow operates as a business associate to the practices it serves and executes a BAA as part of onboarding.

Where does patient data live?

ClinicFlow runs on US-based cloud infrastructure. Clinical summaries are delivered into the practice's EMR — the system of record the practice already secures and audits — rather than accumulating in a separate patient-facing application.

How do urgent escalations protect patient information?

When an urgent after-hours call is escalated, the on-call surgeon receives a text containing a secure link to the call summary — not the clinical details themselves in the message body. The summary is accessed through the link, keeping PHI out of plain SMS.
